Recording a lease on a rental
How to record the tenant, term, rent and deposit of a let property, record it when a rental deal is won, get a task before the lease ends, see leases ending and empty rentals, renew a lease and end it.
When you let a property, record the lease on it: who the tenant is, the term, the rent, the deposit and the notice period. Avensa then reminds you before the lease ends, so a let flat never drops out of sight.
Record a lease
Open the rental
Open the property and go to the Property data tab. The Lease card sits under Rental terms on every property for rent.
Start the lease
Click Record lease.
Fill in the terms
Choose the Tenant from your contacts and set the Start date and End date. Leave the end date empty for a lease with no fixed end. The Monthly rent and Deposit start from the listing; change them to what was agreed. Pick the Deposit status, for example Held.
Choose your reminders
Set the Notice period (days) from the contract. Under Remind me before the end, pick the days you want a task on, for example 60 days and 30 days.
Save
Click Save. The card shows the tenant, the term and how many days are left.
Record the lease when you win a rental deal
When you click Mark as Won on a rental deal, the dialog goes on to Record the lease once the deal is won. The tenant (the deal's client on a tenant deal), the rent the deal was won at and the listing's deposit are already filled in. The start date is the close date and the end date a year later; change them to the contract's dates.
Click Save lease to record it on the property, linked to the deal. The deposit status, notice period and reminders start from the usual defaults; change them on the property's Lease card. Click Not now to skip: you can record the lease on the property later.
The step does not appear when the property already has an active lease.
The tenant among the property's people
The tenant of the active lease is listed with the property's people with the role Tenant. Ending the lease removes them from there; a renewed lease keeps them. You can also add someone as yourself.
